About The Role

An exciting opportunity has arisen for an enthusiastic and self-driven individual to be a part of the Aegis Facility Services team as the Facility Services Administration Officer. This is a full-time position, working principally with Facility Services Consultants to provide crucial support across all aspects of the department including FS staff and contractors’ administration, customer service, helpdesk administration, service provider liaisons, scheduled maintenance programs, confirming and ordering required equipment and assisting in monitoring building related compliances.

Key Responsibilities

The Facility Services Administration Officer (FSAO) plays an integral part in managing all administrative work, as well as assisting with the Facility Services Helpdesk ticket system directly related to Aegis Facilities repairs and maintenance items.  The FSAO will manage all administrative aspects of the Facility Services daily operations, as well as assisting in monitoring workflow of the department via the Support helpdesk and communicating with various stakeholders to ensure a high level of customer service is maintained to all Aegis Facilities.

Key Duties

  • Administration support: ongoing support to management and Facility Services department
  • Contractor Management.
  • Documentation Management.
  • Helpdesk support: Assist in processing tickets and provide support with the workflow to maintain a high level of customer service across Aegis.
  • Gather quotes and seek approval for minor works and equipment purchases.
  • Preventative Maintenance: monitor schedules, liaising between contractors and facilities.
  • Procurement:  Assist with purchasing items including clinical and whitegoods equipment and organise delivery/receival logistics.
  • Assets: Assist in maintaining relevant asset management system.
  • Fleet Vehicle Operations: Maintain an up-to-date list of all current Aegis vehicles.  Complete vehicle transfer inspection reports, oversee servicing, repairs, pool car distribution, keys, number plates, fuel cards and insurance claims.
  • Invoices: Assist with processing invoice details into the ticket system.

 

 About You

  • A high level of accuracy and attention to detail.
  • Excellent verbal and written communication skills with the ability to engage people at all levels and from diverse backgrounds.
  • A positive, welcoming attitude coupled with a genuine desire to provide excellent customer service internally and externally.
  • Sound computer literacy skills.
  • Previous experience within a health care environment, particularly Aged Care, will be highly regarded.
  • Ability to work autonomously and take initiative but must also be able to work collaboratively with colleagues.
